Guidelines for Special Issues
Immersive Reading
I. Introduction to Special Issues
A Special Issue (SI) is a focused, thematic collection of peer-reviewed articles addressing a coherent and timely topic of academic interest. Unlike regular issues, Special Issues are organized and curated by one or more Guest Editors—external scholars recognized for their expertise in the field.
Special Issues are designed to:
- Encourage high-impact, interdisciplinary collaboration;
- Accelerate knowledge dissemination in emerging or rapidly evolving fields;
- Provide a curated platform for showcasing research excellence on focused topics.
All papers submitted to a Special Issue are treated with the same rigor, transparency, and ethical scrutiny as regular submissions and are fully indexed upon acceptance.
II. Benefits of Organizing a Special Issue
Hosting a Special Issue offers benefits for both contributors and Guest Editors:
For Authors
- Increased visibility and targeted audience for their research;
- Opportunity to contribute to a curated and timely scholarly conversation;
- Indexed and open-access publication upon acceptance. For Guest Editors
- Recognition as thought leaders in their field;
- Expanded academic network and international collaboration;
- Priority editorial support from the journal’s editorial office;
- Opportunity to shape the research agenda in a niche domain.
III. Special Issue Proposal Requirements
Researchers interested in proposing a Special Issue should provide the following information in their proposal:
1. Target Journal: Clearly specify the Acadlore journal that will host the Special Issue. The topic must align with the journal's scope.
2. Tentative Title: A concise, descriptive, and searchable title that reflects the theme of the Special Issue.
3. Aims and Scope (200–400 words):
A detailed description of:
○ The thematic background and relevance of the topic;
○ Objectives of the Special Issue;
○ Specific themes/subtopics of interest (provide at least 10 keywords).
4. Submission Timeline:
○ Suggested start date and end date for manuscript submission;
○ Special Issues typically remain open for 6–12 months.
5. List of Guest Editors:
For each Guest Editor, provide:
○ Full name, affiliation, institutional email address, ORCID (optional), and a short academic biography or CV;
○ Editorial experience or subject expertise.
6. Planned Paper Titles and Contributors (optional but recommended):
○ At least 4–8 draft article titles with proposed authors (name, affiliation, institutional email);
○ Alternatively, 8–16 potential contributors from diverse institutions.
7. Conflict Check:
The topic should not duplicate or overlap with any ongoing or archived Special Issue within Acadlore journals.
IV. Editorial Roles and Responsibilities
1. Role of Guest Editors
Guest Editors are expected to:
- Coordinate the scientific content and quality of the Special Issue;
- Draft the Call for Papers (CFP) in consultation with the journal;
- Invite and encourage high-quality submissions from global scholars;
- Oversee the peer review process and recommend decisions based on reviews;
- Promote the SI via academic platforms, mailing lists, and conferences.
Guest Editors may not manage the review of their own papers. These will be handled independently by the journal’s Editorial Board to ensure objectivity.
2. Editorial Office and Editor-in-Chief
The Editor-in-Chief of the journal retains final authority over:
- Approval of SI proposals;
- Final acceptance of articles;
- Conflict resolution in peer review or editorial decisions.
V. Submission to Publication Workflow
To ensure the academic rigor, ethical compliance, and transparency of all special issue submissions, Acadlore follows a standardized editorial and publishing workflow that mirrors our regular issue processes. Every manuscript submitted to a special issue undergoes a double-blind peer review, multiple stages of editorial assessment, and full production editing before publication.
The entire journey—from initial submission to final online publication—is illustrated in the following diagram:

This standardized workflow applies equally to special issue and regular submissions across all Acadlore journals.
1. Submission and Technical Checks
- Authors submit the full manuscript via the online submission system, along with complete metadata and agreement to authorship and ethics policies.
- The internal editorial team performs a technical pre-check, including:
○ Plagiarism screening, ○ AI-generated content assessment (if applicable), ○ Formatting and language readability check.
2. Academic Screening
- The Guest Editor (or journal editorial team) conducts an academic check to ensure:
○ The manuscript aligns with the scope of the special issue, ○ The research design is sound, ○ The contribution is original and scientifically valid.
Submissions failing to meet basic quality or ethical standards will be desk rejected at this stage.
3. Double-Blind Peer Review
- Each eligible manuscript is assigned to at least two independent reviewers with relevant expertise.
- Guest Editors oversee reviewer selection and monitor review timelines, but do not handle any manuscript where they are an author or have a conflict of interest.
- Based on the reviews, manuscripts may undergo multiple rounds of revisions until they meet the journal’s scientific standards.
4. Editorial Recommendation and Final Decision
- The Guest Editor prepares a recommendation memo summarizing reviewer feedback and revision outcomes.
- The final decision is made by the Editor-in-Chief, an Academic Editor, or a Designated Editorial Board Member—especially in cases of:
○ Conflicting reviews, ○ Guest Editor conflicts, ○ High-impact or controversial submissions.
5. Post-Acceptance Production Workflow
- Upon acceptance, the editorial office will notify the author about the applicable publication model. For journals that charge an Article Processing Fee (APC), production will begin after payment confirmation. For APC-free journals, the production process starts immediately after acceptance.
- The editorial team performs technical editing, including:
○ Reference formatting, ○ Figure/table standardization, ○ Metadata verification, ○ Heading and hierarchy checks.
If the manuscript requires language polishing, it is flagged and forwarded to the language editing team.
6. Author Proofing and Final Corrections
- A formatted PDF or Word proof is shared with the corresponding author for review.
- Authors may correct minor issues but major academic changes are not allowed at this stage.
- The final version is checked by the editorial team to ensure accuracy and completeness.
7. Online Publication and Indexing
- After final approval, the manuscript is published online with open access.
- The system generates multi-format files (PDF/HTML/XML), assigns a DOI, and registers metadata with indexing platforms.
- Each article is clearly marked as a “Special Issue Article” and archived under the appropriate volume and issue.
VI. Notes and Compliance Reminders
- All special issue manuscripts follow the same ethical standards and review policies as regular issues.
- Self-citation coercion and citation manipulation are strictly prohibited.
- Guest Editors may not exceed 25% authorship in any special issue.
- The entire process is governed by the Acadlore Publication Ethics Policy and adheres to COPE Guidelines.
VII. Ethical Compliance and Transparency
All Special Issues must strictly follow the COPE Code of Conduct and Acadlore’s Publication Ethics Policy. Guest Editors are expected to:
- Maintain editorial impartiality;
- Uphold strict confidentiality regarding reviewers and submissions;
- Prevent unethical practices including:
○ Plagiarism; ○ Inappropriate authorship; ○ Self-serving citation behavior; ○ Peer-review manipulation.
Citation policy: Guest Editors must not encourage citations to themselves, their institutions, or the journal unless clearly justified by scholarly content.
Authorship policy: The number of papers authored or co-authored by Guest Editors must not exceed 25% of the total published papers in the Special Issue.
VIII. Diversity, Equity, and Inclusion
Acadlore is committed to editorial diversity and global inclusivity. Special Issues must demonstrate:
- Inclusion of authors from multiple countries and institutions;
- Gender and career-stage balance where feasible;
- Engagement of underrepresented communities in science.
We encourage Special Issues to be co-edited by Guest Editors from at least two different countries to reflect the international nature of the journal.
IX. Promotion and Dissemination
The editorial office will support the promotion of Special Issues through:
- Social media campaigns (LinkedIn, Twitter/X, ResearchGate);
- Highlighting on the journal homepage;
- CFP distribution via newsletters and targeted outreach;
- Indexing in major databases post-acceptance.
Guest Editors are encouraged to promote the Special Issue at relevant conferences, workshops, and academic mailing lists.
X. Monitoring, Review, and Cancellation
Acadlore monitors the progress of all Special Issues to ensure timely processing and ethical standards. A Special Issue may be closed or restructured if:
- It fails to attract sufficient high-quality submissions;
- Editorial misconduct is suspected;
- The Guest Editors do not comply with responsibilities or deadlines.
XI. How to Submit a Proposal
Please submit your proposal to the editorial office of the target journal via email at: info@acadlore.com.
Proposals are usually reviewed within 2–3 weeks. Feedback and revisions may be requested before approval.
Special Issues are a core component of Acadlore’s strategy to support emerging research communities and foster international collaboration. All accepted proposals are subject to editorial board oversight, and publication is contingent on ethical integrity and scientific merit.
